Decide what you need the car for
A car may suit a route with several stops and outings beyond the bases. For a mainly town-based stay, compare buses and a separate transfer too. Include reaching the rental desk and parking at your accommodation.
Request a quote for your actual collection and return times rather than just a daily price. Specify drivers, luggage and child seats. Confirm where handover happens: an airport desk, parking area and an office reached by shuttle are different arrangements.
Compare the same terms
| Item | What needs to be clear? |
|---|---|
| Total | Hire period, taxes and selected extras |
| Deposit and card | Amount, named cardholder, card type and available limit |
| Cover | Excess, excluded damage and reporting procedure |
| Use | Mileage, permitted roads and countries |
| Return | Address, time, fuel policy and out-of-hours inspection |
Check your licence and your route separately
Check document rules for the country issuing your licence and the supplier’s conditions. Requirements applying to a Dutch or UK licence should not be treated as universal. Ask the relevant authority and rental company before committing if your documents are unclear.
For border crossings, obtain written permission and establish which insurance documents are required for the countries concerned. A booking confirmation or general insurance policy does not automatically establish permission. Ask explicitly about any intended mountain road or unpaved section too.
A deposit is not the same as an excess
The deposit concerns money the supplier holds or collects; the excess and exclusions concern damage you might have to pay for. Ask how additional insurance works: does it reduce liability at the rental desk, or must you pay first and claim reimbursement? The agreement needs to explain this.
A larger vehicle does not make a prohibited or unsuitable route appropriate. Read current road advice and plan daylight driving where possible. Match journeys to the driver’s capacity and choose another route if the surface or conditions do not suit.
Collection, incidents and return
- Record existing bodywork, tyre and glass damage, fuel and supplied equipment; have discrepancies entered on the handover form.
- Save contacts and reporting instructions offline. Ask what to do after breakdown, damage or an accident before driving away.
- Repeat the checks at return and request a receipt. Retain photographs and documents after the trip.
- Record when and how the deposit should be released rather than assuming an unconfirmed fixed repayment time.
